This Privacy Policy explains how Promotional Studio Pty Ltd ("we", "us", "our") collects, uses, stores, and discloses your personal information. It applies to all personal information collected through our website, our Order Portal, and any other interactions you have with us.

1. What Information We Collect and Why

1.1 Personal and Business Information

When you enquire about our products or services, request a quote, or place an order, we collect information including:

  • your name and the name of your organisation
  • contact details including email address, phone number, and delivery address
  • your ABN or ACN where relevant to a business transaction
  • any other information you provide to us in the course of our business relationship

This information is used to:

  • provide you with the products and services you have requested
  • communicate with you about your order and our services
  • verify your identity for security purposes
  • maintain accurate business records
  • send you relevant product and promotional information where you have consented to receive it

We retain business records, including personal information that forms part of those records, for a minimum of seven years from the date of the relevant transaction. This is to support any legal or tax-related obligations that may arise.

1.2 Order Portal and Account Information

When you create an account and use our Order Portal, we collect information including:

  • your login credentials (email address and password)
  • your order history, including quotes, confirmed orders, and delivery records
  • your communications with us through the portal, including artwork approvals, proof sign-offs, and support messages
  • your preferences and settings within the portal

This information is used to manage your account, process your orders through our seven-stage order process, and provide you with real-time visibility of your order status. We retain this information for as long as your account is active and for a minimum of seven years after your last transaction with us.

1.3 Artwork and Brand Assets

When you upload artwork, logos, brand assets, or design files to us for the purpose of producing custom goods, we retain copies of those files to fulfil your order and to facilitate future reprints or related orders. We use your artwork solely for the purposes described in our Terms and Conditions and do not share it with any third party other than the supplier or manufacturer producing your goods.

You retain full ownership of all intellectual property in your artwork. Our handling of your artwork is governed by Section 14 of our Terms and Conditions, available at promotionalstudio.com.au/terms.

1.4 Website Usage Information

We collect information about how you use our website, including the pages you visit, how you arrived at our website, how long you spend on each page, and how our website performs for you. This information is collected through cookies and analytics tools and is used to improve our website and your experience. It is collected in aggregate form and is not linked to your personal identity.

1.5 Payment Information

We do not collect or store your credit card or bank account details directly.

Credit card payments are processed through Stripe, a third-party payment service provider. At the point of payment, you interact with Stripe's secure environment. Our staff do not have access to your card details.

Bank transfers are processed through our Commonwealth Bank of Australia account. Where you make a bank transfer, we receive and retain records of the transaction in our accounting system for financial and tax record purposes.

Where you arrange a direct debit, payment details are passed to our bank for processing and are not stored by us separately.

1.6 Communications

When you contact us by email, phone, or through our contact form or Order Portal, we collect and retain a record of that communication, including your name, contact details, and the content of your message. We use this information to respond to and resolve your enquiry and to improve the quality of our service.

1.7 Job Applications

If you send us a job application or expression of interest, we may retain that information for up to three years in case a suitable opportunity arises. If we employ you, we collect and retain information about you and your work throughout your employment and for six years following the end of your employment.

2. How We Share Your Information

We do not sell your personal information to third parties. We share your information only in the following circumstances:

2.1 Suppliers and Carriers

To fulfil your order, we share relevant personal information, including your delivery address and order details, with our suppliers, manufacturers, and delivery carriers. This sharing is necessary to produce and deliver your goods. Our obligations to carriers and suppliers in respect of your delivery are set out in our Shipping Policy at promotionalstudio.com.au/shipping-policy.

2.2 Payment Processors

Payment information is shared with Stripe (for credit card payments) and Commonwealth Bank of Australia (for direct debit and bank transfer processing) solely for the purpose of completing your transaction.

2.3 Analytics and Re-marketing

We use Google Tag Manager and associated Google services for website analytics and re-marketing purposes. These tools collect anonymised information about how visitors use our website and may enable us to show relevant advertisements to previous visitors on other websites. Google may use cookies or similar technologies to collect this information. No personally identifiable information is shared with Google for these purposes. 2.4 Credit Reference Agencies

To assist in managing fraud and payment disputes, we may share information with credit reference agencies where a customer directs their credit card issuer to reverse a payment without first providing an acceptable reason and giving us a reasonable opportunity to resolve the matter.

2.5 Legal and Regulatory Authorities

We may disclose personal information to government authorities, law enforcement agencies, or regulatory bodies where we are required to do so by law, court order, or other lawful authority.

2.6 Professional Advisors

5. International Data Processing

Our primary website and systems are hosted in Australia. Some of our business processes and third-party services, including Stripe and Google, may involve data being processed or stored outside Australia. 6. Marketing Communications

With your consent, we may use your contact details to send you information about our products, services, and promotions. You may opt out of marketing communications at any time by clicking the unsubscribe link in any marketing email, or by contacting us directly at hello@promotionalstudio.com.au.

Opting out of marketing communications will not affect the delivery of transactional emails related to your orders.

7. Children

We do not knowingly market to or collect personal information from children under the age of 18. Our products are intended for purchase by adults. If you are under 18, you may use our website only with the consent of a parent or guardian.

8. Access, Correction, and Deletion of Your Information

You have the right to:

  • request access to the personal information we hold about you
  • request that we correct any personal information that is inaccurate, incomplete, or out of date
  • request that we delete personal information we hold about you, subject to our legal obligations to retain certain records

We will acknowledge receipt and advise you of the timeframe for our response.
